CONSTRUCTION MANAGEMENT

Greenferd is known as one of the most talented construction management providers in the city.  Our experienced team will provide valuable input to the project team as soon as we are brought onboard. Permits / Approvals

The permit process is very important and if not handled correctly, can seriously impact a project’s schedule. Certain municipalities have different submission requirements and different timelines for the permit process.

Our team is very experienced in managing the permit process and will take the lead if requested by the project team.

Pre-Construction Phase

This is perhaps the most important phase in a construction management project where we believe 80% of savings are derived. The main goal of Greenferd’s involvement at this stage of the project is to assist with the overall planning of the project to save time, money and to avoid complications later in the project. Our team will be intimately involved very early in the process, establishing parameters for the design team to follow with respect to individual areas and material selection. This will prevent the problem of being over budget once the design is complete.

Activities that Greenferd will undertake during this phase include:

  • Our project manager will meet with the Project Team to discuss the project, ensuring a thorough understanding of all stakeholders’ needs and the critical success factors of the project.
  • Our project manager and site manager will inspect the selected space to become familiar with the location and base building systems. Prepare a report based on the findings during the inspection. We will likely provide an OpenSpace AI capture of the space that the team can review and discuss
  • Our project manager and estimator will interact with the Design and Project Team to understand the design parameters and to provide input with respect to construction challenges.
  • Our estimator will use BlueBeam to create preliminary construction budgets that are reviewed and updated as the design continues to evolve. He will develop, maintain and monitor the construction budget throughout the project
  • Our project manager will create a preliminary construction schedule that confirms milestone dates for the construction – an integral component of the overall project schedule, again with updates as required. He will develop, maintain and monitor the construction schedule throughout the project. Schedules are developed using Microsoft Project.
  • Our project manager and estimator will undertake value engineering to present alternative materials and processes to accommodate budget and schedule.
  • Greenferd will apply for and expedite the building permit if desired.
  • Our estimator and project manager will identify and order long-lead items to ensure adherence to the schedule. Greenferd will also provide alternates if specified products cannot meet the schedule requirements.
  • Greenferd will submit samples and cut sheets in a timely fashion and keep all submittals logged to ensure timely approvals.
  • Establish key performance indicators for all stake holders to guarantee project success.

Tendering Phase

The goal of Greenferd’s involvement at this stage is to solicit the most aggressive and comprehensive prices from a list of pre-approved vendors.

During this phase, Greenferd will:

  • Recommend and pre-qualify a list of subtrades for tender purposes. Greenferd understands that the client may have preferred vendors that can be added to the tender process.
  • Prepare “instructions to bidders” documents that the client and consultant can review and solicit pricing from list of approved sub-trades.
  • Conduct a site walk with the selected trades to ensure all parties are aware of site conditions and building specific issues.
  • Prepare and issue tender packages.
  • Receive trade bids and prepare a tender analysis along with recommendations.
  • Select trades and prepare contract documents.

Greenferd may, if required, tender the project in a “sequential” fashion, where bids are solicited from the various trades as drawings become available, thus expediting the construction process and expediting the schedule.

Construction Phase

This is the execution phase. Greenferd will ensure that the project is delivered as planned, considering both schedule and budget.

Once the planning and drawings have been completed, Greenferd will begin to execute the project. We will:

  • Establish a full site office equipped with wifi, computer, printer, life safety board, a full set of working drawings and a meeting area at the project site.
  • Conduct weekly site meetings with the complete project team in addition to as-needed meetings with the sub-trades.
  • Record all the minutes and distribute them to the project team.
  • Coordinate all the day-to-day activities of the project. This includes, but not limited to, maintaining safety standards, requisitioning shop drawings and samples, interfacing with the landlord, monitoring quality of workmanship, initiating site inspections with engineers and governing bodies, coordinating commissioning of the tenant’s equipment and organizing documenting and rectifying deficiencies. All of the administrative functions related to this phase will be completed using CMIC construction software.
  • Throughout the entire construction phase, Greenferd will provide the project team with timely and accurate reports on the project status.
  • Provide periodic updated construction schedules and updated cash flow schedules.
  • Review and approve progress invoices submitted by the subtrades and prepare weekly status reports or executive summaries. This will allow the project team to have a sense of the project pulse and relieve any potential anxieties associated with the construction project.
  • Provide weekly (or more) OpenSpace™ captures to monitor site progress & to keep the team up to date.

Post-Project Phase

In this stage, Greenferd will work diligently to ensure that the project is completed in a timely fashion, and that all warranties and guarantees are in place, along with all required as-built drawings.

Greenferd will:

  • Remain committed to rectifying any deficiencies that may be outstanding.
  • Arrange for staff training to ensure the proper maintenance of newly installed equipment.
  • Manage on-going administrative duties include reconciling contracts with the subtrades, and issuing a Publication of Substantial Completion to comply with the Construction Lien Act.
  • Provide a close-out package which will include all as-built drawings, guaranties and warranties, a complete list of resources used on the project and a post project audit.
  • Our Customer Experience Specialist will visit our client periodically post-move in to ensure that the space is functioning as required and to assist with any warranty issues or moves, adds or changes that are being contemplated.

On-Going Client Care

When people see a completed commercial space, they see the features that were constructed: the reception area, board rooms, private offices, collaboration areas and more.  What they don’t see are the relationships that were built along the way.  These relationships are something that Greenferd puts huge value on, and as a result, we can proudly say that over 50% of our annual revenue comes from repeat clients.

GENERAL CONTRACTING

Our general contracting service provides complete cost certainty and absolute accountability on projects where a final set of drawings is made available.

Our team will provide a detailed fixed-price broken out by division based on working drawings supplied by the design firm.

A full-time Site Manager is assigned to each project and he ensures the project hits the required timelines and the project quality meets the expectations of the team.

One of our highly experienced Projects Managers takes a hands-on approach to each project ensuring that issues are dealt with promptly and schedules are adhered to.

The Greenferd project manager will lead all activities including requisitioning shop drawings and samples, interfacing with the landlord, monitoring the quality of workmanship and safety standards, initiating site inspections with engineers and governing bodies, coordinating commissioning of tenant equipment and rectifying deficiencies.

To maintain open communication and adherence to the schedule, Greenferd manages weekly site meetings which all the team members are encouraged to attend. Minutes are recorded by our team and distributed to all team members within 72 hours.  For those who can’t visit the site location, an OpenSpace AI capture can be provided to  show exactly what is happening on site.   Once move-in is complete and site deficiencies are remedied, we will prepare a comprehensive close-out documentation package including issuance of all warranties guarantees and as-built drawings.  Once again, our Customer Experience Specialist will visit our client periodically post-move in to ensure that the space is functioning as required and to assist with any warranty issues or moves, adds or changes that are being contemplated.

SITE SELECTION

Selecting a new office space is not an easy process. Selecting a qualified real estate broker is essential, but our team takes the process a step further.

Once you have shortlisted potential investments, we will provide as assessment of each space from a construction point of view. Issues such as what infrastructure and equipment exist and what the cost is to redevelop these, does the building require unionized trades and what kind of HVAC system is in place should all play a part in selecting a space. Our team can tour each potential site and provide an expert opinion on each one.

BUDGET & SCHEDULES

Our team will provide accurate and realistic budgets and schedules for a project with no obligation and no fee. We understand that there can be a lot of confusing and conflicting information passed between the real estate broker, the designer and the end-user. We will provide insight into budget and schedule issues to make sure that the Team has realistic expectations from the outset of the project.

Our team will help reduce any confusion by providing itemized budgets and schedules based on actual drawings so that all team members understand the realistic costs and time-frames associated with the project.

We believe that the more information is available at the beginning of a project, the less opportunity for any surprises later on.
